Keeping Track of the Goods

I was looking in my cellar this morning picking the blend of the day. Today is cloudy, rainy, mid 30’s, and I settled on Stokkebye PS306 English Oriental Supreme. I decided I need to create a better way to track my 'goods'. While I have an Excel spreadsheet that lists everything, but it’s just that, a flat file list. There are no places for comments, reviews, etc. Today, I would have liked to have looked over a list, and a few recorded comments in my decision making. (Still nothing beats sticking your nose in the jar.)
So with that in mind, I am creating a database that will allow me to track everything, including pipes, comments, notes, supplies, amounts, costs, dates, order levels, other accessories, etc. Is anyone else on here doing anything similar to this? I was going to keep a notebook, but I would rather have it electronically to update and can always print reports out.

It would be really simple with just Excel spreadsheets, or for us Mac users, Numbers spreadsheets. I imagine that it would be a fun project that done correctly, would make life exceedingly simple when it comes to organizing your cellar.

I'm anal-retentive myself, and have often thought about organizing my stash.

In addition to the tobacco's attributes I think age and a running quantity

on hand is most important. There is an online tobacco cellar with some of the

properties gecko13 seeks -- but I think it is just a flat file too. Maybe

someone can post the URL.
I have yet to put something like this in practice because I always say

"I'll get on it -- right after I finish this next bowl of tobacco." :lol:

I don't trust 'the cloud' I might have to sit down and draft an organization system like gecko suggests. Might be a fun project.

Yes, I know, why complicate a simple pleasurable thing. :puffpipe: But, being an engineer, I may have some anal qualities, but I like some order, and try to keep the anal qualities under control.....I can't help it. Grin. Besides, I might have to smoke a lot of bowls to get my mind right while doing this. Oh damn. :clap:

I use the Pipe Tool app for the iPhone! It is great at keeping track of your cellar and it is linked to tobaccoreviews.com so it has tons of reviews for you to read!

I've created a notebook in which all my tobacco notes go, usually take the time to make an entry after each bowl I smoke, allowing me to see how my perceptions of the tobacco changed throughout the tin/pouch/baggie. The pages follow a general sensory evaluation format, with areas included for room-note, unlit flavours, and DGT categories added to the usual suspects.

As I finish the tin/pouch/baggie, I transfer the notes to a binder which I keep with my cellared tobaccos, that way I can compare initial notes as I revisit blends.

That's the site Cortez must've been talking about. Personally, anything stored exclusively on the internet sketches me out. I like having hard copies, backups of my backups, etc.

The only problem I have with the online cellar site is the lack of relavent blends (new blends and obscure blends) and the inability to add blends they don't have in their system...

Yeah, the cellar I use can be modified to add new blends and blenders. Also, you can make it private. If you need a hard copy just print.

I created an Excel Spreadsheet (more than a year ago). It pretty much encompasses everything you mentioned and some you didn't. There are a couple of exceptions to those functions you mentioned, that could easily be added if I so desired.

I use mine to track my cellar/stash-inventory, and keep a wish list for blend to try.

It was not difficult to assemble and it's inherently customizable.

I keep my records strictly in hand written hard copy. I will not list anything I own online for many reasons.

I was using the online sites to keep track then one day I said the heck with it and created a page on my website listing everything (well almost everything) in my cellar.

I have become a huge fan of tobaccocellar.com. You can add blends and it has a backup to your HD system. The really cool thing I like is that is calculates how long your cellar will last based on your current usage.

I have to say I think you are perfectly normal gecko13. I collect many things and try to organize them all in various spread sheets and databases. I just upgraded from a smart phone to a iPad to have everything portable. I cant count the times i bought a book or movie i already had. My current plan is to combine them all into one major database. Access makes it simple to link your database to different websites. I have one for my DVDs that is connected to amazon.com.
